Aircall

Cloud Phone System · AI-enabled

The phone system we install when a HubSpot team is still dialing from personal cells and logging calls from memory (read: not logging calls).

our verdict

Aircall is the fastest way to get a real phone system living inside HubSpot, every call logged, transcribed, and triggering workflows, with zero hardware and a setup measured in days. The AI layer (transcription, summaries, call scoring) has gone from nice-to-have to the reason you buy. The catch: per-seat pricing plus add-ons stacks up fast, and there's a 3-license minimum, solo operators should look elsewhere.

What it does

  • Cloud phone: numbers in 100+ countries, IVR, routing, queues, SMS/WhatsApp, no hardware, no telecom guy named Dave.
  • Power Dialer + click-to-dial: reps call straight from HubSpot lists, roughly 3–4x the daily call volume.
  • AI on every call: transcription, summaries, sentiment, talk ratio, and call scoring for coaching (AI Assist add-on).
  • AI Voice Agent: answers routine inbound 24/7, FAQs, info capture, so humans get the calls that need humans.
  • 100+ native integrations; HubSpot's is one of the deepest in the category.

The HubSpot integration, honestly

What syncs: every call and SMS auto-logs to the matching contact, company, deal, and ticket, duration, outcome, recording link, notes, tags, transcription, and AI artifacts (action items, sentiment, scorecards). Contacts sync both directions; unknown callers can auto-create HubSpot contacts.

The RevOps money feature: Aircall writes call outcomes and tags into HubSpot properties, which means calls can trigger workflows. Missed call → instant follow-up task and lead rotation. Voicemail → SMS + email sequence. This is where a phone system becomes a revenue system.

Gotchas (learn from our scar tissue):

  • Users must log into Aircall and HubSpot with the same email, or calls log to the wrong place and everyone blames the tool.
  • Power Dialer needs Aircall Professional or above, and won't run from HubSpot's Tasks view.
  • If your portal is at its custom property limit, Aircall's property creation fails silently, and every workflow built on those properties fails with it. (We check this in every audit.)
  • Decide upfront whether out-of-hours calls should log; the default surprises people.
how we do it

How we implement it

  1. 1Number strategy, routing and IVR mapped to your actual team structure.
  2. 2HubSpot integration configured properly, properties, logging rules, same-email check.
  3. 3The workflow layer: missed-call rescue, voicemail follow-up, outcome-based routing.
  4. 4AI features tuned + a coaching dashboard your sales lead will actually open.

3-license minimum (~$90/mo entry). AI Assist from ~$9/user/mo, Analytics+ ~$15/user/mo, Voice Agent minutes billed separately. Budget for sticker + ~30% once add-ons stack, and negotiate; discounts are normal.

For

HubSpot-first sales and support teams, ~3–100 seats, that live on the phone and want calls feeding the CRM automatically.

Not for

solo operators (license minimum), enterprise contact centers needing workforce management, or budget-first buyers, JustCall and CloudTalk undercut it on price (we'll tell you when they're the right call).
