Aircall is the fastest way to get a real phone system living inside HubSpot, every call logged, transcribed, and triggering workflows, with zero hardware and a setup measured in days. The AI layer (transcription, summaries, call scoring) has gone from nice-to-have to the reason you buy. The catch: per-seat pricing plus add-ons stacks up fast, and there's a 3-license minimum, solo operators should look elsewhere.
What it does

The HubSpot integration, honestly
What syncs: every call and SMS auto-logs to the matching contact, company, deal, and ticket, duration, outcome, recording link, notes, tags, transcription, and AI artifacts (action items, sentiment, scorecards). Contacts sync both directions; unknown callers can auto-create HubSpot contacts.
The RevOps money feature: Aircall writes call outcomes and tags into HubSpot properties, which means calls can trigger workflows. Missed call → instant follow-up task and lead rotation. Voicemail → SMS + email sequence. This is where a phone system becomes a revenue system.
Gotchas (learn from our scar tissue):
- Users must log into Aircall and HubSpot with the same email, or calls log to the wrong place and everyone blames the tool.
- Power Dialer needs Aircall Professional or above, and won't run from HubSpot's Tasks view.
- If your portal is at its custom property limit, Aircall's property creation fails silently, and every workflow built on those properties fails with it. (We check this in every audit.)
- Decide upfront whether out-of-hours calls should log; the default surprises people.
